Appointment Policy

How online appointments at the Karaj practice are booked, confirmed straight away, cancelled and followed up.

01Introduction

Online booking makes it simpler to book and follow up appointments. This policy explains how booking works, choosing a time, mobile verification, appointment status, and the principles for cancellation, lateness and missed appointments.

02How to book

  1. Choose the area of care (reason for visit). You don’t need to know your exact condition — the conditions listed under each area are for guidance only. If you are not sure, choose the general specialist consultation.
  2. Choose a date
  3. Choose one of the free times
  4. Enter your full name and national ID
  5. Enter your mobile number and verify it with the SMS code (not needed if you are already signed in)
  6. Review and confirm

Once booked, your appointment is confirmed immediately, a reference code is shown, and the appointment appears in your patient account.

03Bookable times

Consultation hours when this policy was written: Saturday to Wednesday, 17:45 to 20:00. Each appointment currently lasts 10 minutes.

Appointments can be booked up to two weeks ahead, and no later than 30 minutes before they start. Hours may change with the doctor’s schedule or the practice’s circumstances; the times shown in the system when you book are what count.

04Availability of times

A time can be booked only while it is free, and selecting it does not by itself reserve it. If several people book the same time at once, the system records only one booking and asks the others to choose another time.

05Mobile verification

Your mobile number is verified with a one-time SMS code (OTP). The code is valid only for that sign-in, expires shortly, and must not be shared with anyone.

06Patient details and booking for someone else

The details you enter — full name, national ID and mobile number — must be correct and belong to the patient.

Each mobile number is linked to one patient with one name and national ID, and a registered national ID cannot be changed online. To book for someone else (for example, a family member), use that person’s own mobile number. Whoever makes the booking is responsible for using the other person’s details appropriately.

07Viewing your appointment

Booked appointments appear in your patient account. The practice may update an appointment’s status — for example to “completed”, “cancelled” or “no-show”.

08Cancelling or changing an appointment

You can cancel an upcoming appointment from your patient account at any time before it starts. There is no charge, and the time becomes available to others.

To change the time, cancel and book a new appointment, or contact the practice.

If the practice ever sets a cancellation deadline, fee or restriction, it will be announced in the system or in an updated version of this policy before it applies.

09Late arrival

Please arrive on time. Lateness may make it impossible to be seen at the booked time, especially if the day’s schedule cannot be moved. There is no fixed grace period or automatic cancellation; each case is decided on the day.

10Changes by the practice

Unforeseen circumstances may require an appointment time to change. If so, we will try to let you know where possible and arrange another suitable time; the new time appears in your patient account.

11Missed appointments

If you do not attend and have not cancelled beforehand, the appointment may be recorded as a “no-show”. There is no fee or restriction on future bookings unless one is formally announced in the future.

12Booking integrity

Bookings must be made only through the system itself. Fake bookings and manipulating availability are not allowed. If you hit a technical error, check the appointments in your account before booking again.

13Fees and payment

Booking on the website involves no online payment. If online payment is ever introduced, the amount, payment method and cancellation and refund terms will be stated clearly before you use it.

14Urgent medical situations

Online booking is for planning a visit and is not a substitute for emergency medical services. If you need urgent care, do not wait for an online appointment — use emergency medical services.

15Personal information for appointments

Appointment information is handled under the Privacy Policy and consists only of identity details, your mobile number and the appointment itself; no medical records, prescriptions, test results or clinical notes are collected.

16Changes to this policy

The booking process, consultation hours or appointment length may change. The new version is published on this page; the date of the last update is shown in the website footer.
